Position Overview:
We’re hiring an Executive Project Manager who can keep projects organized and moving forward. In this role, you’ll help coordinate tasks across teams, track progress, and make sure deadlines are met. You’ll also help manage incoming opportunities through LinkedIn and other platforms, keeping communication clear and organized so our leadership team can stay focused on big-picture goals. In addition, you’ll handle some assistant duties such as scheduling meetings and coordinating travel when needed.
Key Responsibilities:
Executive Support
- Manage Executive calendar, travel arrangements, conference and meeting prep, and Sales follow-ups
- Handle inbox management, note-taking, and internal Executive communications
- Maintain confidentiality, prioritize tasks, and be two steps ahead of the needs of our Executive team
- Spearhead various strategic projects for our leadership team (Analytics, Sales, Marketing)
Lead Intake & Coordination
- Monitor and respond to inbound messages, website inquiries, and other lead channels
- Qualify incoming requests and route them appropriately to sales or internal stakeholders
- Track and follow up on conversations, appointments, and pipeline activity in CRM or similar tools
Social Media/Marketing & Sales Support
- Assist the team with driving brand engagement on various social platforms
- Coordinate with Sales and Marketing team for campaign planning
- Organize and normalize lead data for prospecting and outreach
- Catalogue and maintain company marketing content and materials
Qualifications:
- 2+ years experience as an Executive Assistant, Project Manager, or similar support role
- Familiarity with LinkedIn as a business tool (not just as a job board)
- Comfortable navigating CRMs, inboxes, calendars, and social media scheduling tools
- Strong written and verbal communication skills
- Highly organized, proactive, and able to manage multiple priorities
- Experience in a sales-oriented or customer-facing environment a plus
Bonus Points:
- Light design skills (Canva, PowerPoint or similar)
- Previous experience supporting Executives in high-growth/startup environments
- Comfort with AI tools, automation platforms, or content scheduling software
